      Lock down your school contracts

While your school site may be in lock down there is something worthwhile you can be doing now and that is reviewing and establishing a Contracts Register for your school.

      What is a Contracts Register?

      • It's a simple record of all the contracts and agreements your school has in place with various suppliers. It includes details of the annual spend/value, contract start dates and importantly contract end dates.
      • Every school will have supplier contracts in place, for example, for your waste collection and disposal, grounds maintenance, office supplies and photocopier agreements, catering and cleaning services. The list goes on…

      Benefits of a Contracts Register

      • Enables you to be on top of your procurement responsibilities. It means you give yourself plenty of time to re-view existing contracts due to a change in circumstances, low service quality or other issues.
      • Flags you when a contract is due for renewal and when you should start to consider other options.
      • Allows you plenty of time to consider the options and to gain alternative quotes or set up a new tender. This also means you can evidence and demonstrate value for money. So, whilst you are not on the school site, consider exploring a Contracts Register for your school - view a film on our Contracts Register here

      Access our free Contracts Register

If you don't have a Contracts Register, or don't know where to start, registering for Education Buying's 'Starter’ will provide you with instant access to our online and easy to use Contracts Register. When registering request a free welcome call from our friendly customer services team who will help you get started.

Based on the contract end dates you put into the register and the area of spend (e.g. Facilities Management or ICT) our Contracts Register  will give you an alert and update on when you need to start reviewing each contact.

It's worth planning ahead as under Public Sector Procurement (PCR) regulations some high value spends need a longer lead-time to review as they may require a formal tendering process. The lead time can be 12 months for high value contracts such as catering and/or cleaning services.

Our Contracts Register will provide you with a traffic light report and an e-mail alert based on your contract deadlines. And don’t forget that we can help you with your re-procurement process too!

Get started by registering for our free Contracts Register. As extra support during this time we are offering 3 months free support on helping you complete a Contracts Register for your school - simply register and we will be in touch.
